Position Summary:

The Patient Coordinator plays a critical role in guiding patients through their surgical journey.
This role serves as the main point of contact for surgery patients from the time of initial consultation through surgery scheduling and post-operative care. The Patient Coordinator ensures patients feel supported, educated, and cared for throughout the process, and is also responsible for administrative coordination, quote preparation, and case conversion.

Key Responsibilities:

Consult Coordination & Education:

  • Meet with patients during or after consultations to review surgical quotes and procedure details.
  • Educate patients on timelines, financial policies, surgical preparations, and recovery expectations.
  • Serve as a trusted liaison between patients and the medical team, answering questions and managing expectations.


Scheduling & Logistics:

  • Coordinate pre-op and surgery dates, including necessary labs, clearances, and follow-ups.
  • Maintain accurate and up-to-date patient records in the EMR (Nextech).
  • Collaborate with the OR team to ensure schedule accuracy and readiness of surgical supplies and staff.


Sales & Conversion:

  • Follow up on all surgical leads in a timely manner via phone, text, or email.
  • Provide excellent customer service that encourages patient commitment and loyalty.
  • Track conversion rates and proactively reach out to patients with expiring quotes or pending decisions.


Administrative Support:

  • Prepare surgical quotes and payment plans using established templates and pricing structures.
  • Collect and process payments, deposits, and necessary documentation.
  • Assist with marketing promotions, events, and seasonal campaigns related to surgical services.


Required Qualifications:

  • 2+ years in a patient-facing role within a plastic surgery, dermatology, or aesthetics practice
  • Strong communication and interpersonal skills
  • Excellent organizational skills and attention to detail
  • Ability to manage multiple patient relationships with professionalism and empathy
  • Proficiency in EMR systems, preferably Nextech


Preferred Qualifications:

  • Bachelor’s degree or relevant medical/administrative certifications
  • Experience working directly in surgical scheduling or high-end sales
  • Knowledge of aesthetic surgery and medical spa procedures


Working Conditions:

  • On-site role, extended hours during high-volume periods
  • Requires comfort discussing financials, body procedures, and personal health matters with patients in a professional and empathetic manner
